RankBox provides AI-assisted SEO reports, page audits, backlink analysis, content drafting, and project chat using data supplied by users and connected services such as Google Search Console and organization-configured Ahrefs credentials. This Privacy Policy explains what information we collect, how we use it, and the choices available to you.

Information We Collect

We may collect the following information when you use RankBox:

• Account information, including your name, email address, and login method.
• Organization and team information, including membership and role details.
• Website and SEO data you provide or connect, including site URLs, crawl results, Google Search Console data, URL inspection data, PageSpeed data when enabled, backlink and Ahrefs-derived data, content drafts and versions, business profile details, priority keywords, chat messages, and generated reports.
• Usage information, including report activity, audit history, credit usage, token usage, timestamps, and application logs used to operate and secure the service.
• Technical information, such as browser, device, IP address, cookies, and session data required for authentication and application functionality.

How We Use Information

We use collected information to:

• Provide, maintain, and improve RankBox features.
• Generate SEO reports, page audits, backlink reports, content drafts, recommendations, and related chat responses.
• Authenticate users and manage organization access controls.
• Monitor usage limits, plan credits, reliability, and security.
• Debug errors, prevent abuse, and protect the integrity of the service.
• Communicate service, account, security, and support information.

Google Search Console Data

If you connect Google Search Console, RankBox uses authorized access to retrieve SEO performance data for properties available to your organization. This data is used to generate SEO reports and audits. You can revoke Google access through your Google Account permissions or by disconnecting the integration where available in RankBox.

Free SEO Audit (public tool)

RankBox offers an optional public Free SEO Audit at /free-seo-audit that does not require a RankBox account. When you use it, we create a short-lived browser session, ask you to sign in with Google for read-only Search Console access, and capture your Google account email and name for lead follow-up. We run a limited crawl (up to 35 pages by default, configurable server-side) and generate an AI report using Kimi, limited to one report per Google account in a 30-day period. Reports can be shared via an unguessable link. Ephemeral session, token, and report rows are purged after about 30 days; lead records (email, site, timestamps, conversion status, and a markdown snapshot for share links) are retained. If you choose Save to RankBox, we create or attach a RankBox account, copy your Search Console connection, and import the completed report into the product.

Third-Party SEO and Research Services

Organizations may configure third-party integrations such as Ahrefs for backlink data and Firecrawl for optional web search during content workflows. Data retrieved through these integrations is used only to provide the features you request and is subject to those providers' terms where applicable.

AI Processing

RankBox may send report inputs, including relevant website crawl data, Search Console metrics, backlink samples, business profile context, content draft inputs, and optional PageSpeed data, to large language model providers to generate reports, audits, content, and chat responses. We limit prompts to the information needed for the requested analysis.

How We Share Information

We do not sell your personal information. We may share information with service providers that help operate RankBox, including hosting, database, authentication, analytics, infrastructure, and AI model providers. We may also disclose information when required by law, to protect rights and safety, or in connection with a business transfer such as a merger, acquisition, or asset sale.

Cookies and Sessions

RankBox uses cookies and similar technologies for authentication, session management, security, and application preferences. Some cookies are required for the service to function.

Data Retention

We retain account, organization, report, audit, draft, and integration data for as long as needed to provide the service, comply with legal obligations, resolve disputes, enforce agreements, and maintain security. You may request deletion of applicable information, subject to operational and legal limits.

Security

We use administrative, technical, and organizational safeguards designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your Choices

Depending on your location and account status, you may have rights to access, correct, export, delete, or restrict certain personal information. Organization administrators may also manage team access and connected properties.

Children's Privacy

RankBox is not intended for children under 13, and we do not knowingly collect personal information from children under 13.
